Student Affairs Sites: Instructions

Context

The following instructions are for Division of Student Affairs sites only.

Student Affairs Communications and Marketing (SACM) will be responsible for the remediation and contact with DoIT, unless otherwise communicated. Reach out to sacm@umbc.edu for specific questions.

THIS PROCESS IS FOR REMEDIATION OF “SITES” WEBSITES ONLY.

We will NOT be focusing on new site creation, large content revisions, or aesthetic overhauls of pages or sites. Major revisions and edits will be done after the remediation timeline. We will be looking at these starting June 1, 2026.


PHASE 1: Content Review – Starting February 2026

Responsible Parties:

Goals:

  • Ensuring that content that is important to the function of the university or that is a frequent target of searches/AI questions is correct
  • Ensuring that we are not doing accessibility remediation work on content that is no longer relevant and can be removed

What to expect:

  1. The SACM team will do an initial content review and make recommendations based on their findings via a spreadsheet shared through the project management platform Basecamp.
  2. The SME(s) will do a content review, and either agree or disagree with the SACM recommendation. If the SME disagrees, please include an alternative plan for the content in the appropriate column of the spreadsheet.
    • IMPORTANT: Content review has a strict deadline, which will be provided by the SACM Team. If the SME misses the content review deadline, the SACM team will continue on to the next step of accessibility review.

PHASE 2: Accessibility Review – February through April 2026

Goal:

What to expect: 

  1. The SACM team will do an accessibility review of page content, and will remediate issues.
  2. SACM will meet with DoIT every other week to review progress and to address any concerns regarding process.
  3. SACM will notify the SMEs once remediation has been completed on the site via Basecamp.
  4. Once remediation is complete, any edits to the site afterward will need to be accessible upfront (see Next Steps).

  • Once remediation is complete on all DoSA sites, any larger edits or restructuring can be discussed.
  • You may have been previously trained to edit your site, but you will notice access has been removed. Once you have completed the required Silktide training, reach out to SACM, and access will be restored. Review the Silktide Quick Start Guide and proceed with the steps to obtain access and training. The required training courses are:
  • All new edits to your site need to be accessible. Once edits are complete, use Silktide to check the page(s) that have been edited and make any corrections as needed.
  • Only minor edits to pages should be done by site admins, such as text and image edits. For larger edits like new pages, menu item changes, or structure changes, contact SACM.
